Property isn't your business. But it costs you money — and since IFRS 16, balance sheet positions too.

RE-FX is one module among many — and that's not the problem

In corporate environments, we rarely find SAP RE-FX at the centre of the system landscape. It sits alongside SD, MM, PP, EWM, and everything else that runs the actual business. Most implementations date to 2019 or later — when IFRS 16 forced the capitalisation of all lease obligations.

The scope goes well beyond buildings: vehicle fleets, machinery, IT equipment, office furnishings — anything leased needs to be valued. In practice, RE-FX becomes hard to avoid once you manage several hundred contracts or more.

The biggest difference to real estate companies: contracts are often not assigned to actual property objects but to generic descriptions, WBS elements, or cost centres. That's enough for the books — but not for strategic portfolio questions.

FI / CO

Cost centres, profit centres, internal orders — the financial backbone.

SD / MM

The real business — sales, procurement, logistics.

PM / EAM

Maintenance and asset management — often separate from RE-FX.

RE-FX at many corporates runs comparatively isolated. Integration into FI, CO, and FI-AA — not much more. Read positively: little legacy, little custom code, manageable complexity. Less positively: little in-house expertise, little further development.

Many corporates run a dedicated facility or workspace management system alongside SAP — Planon, IBM TRIRIGA, or similar CAFM tools. These handle space management, room booking, and FM ticketing — functions that RE-FX typically doesn't cover in corporate settings.

Two patterns come up frequently: companies managing their vehicle fleet through RE-FX with an interface to fleet management software. And companies managing lease-in contracts for branches, factories, or facilities worldwide — retailers, banks, insurers with hundreds or thousands of locations.
